How can I manage my team member access to NextPay?

Invite team members to manage your NextPay account with different roles and access levels.

Only users granted Admin Access can manage team member access within their accounts.

View users

  1. In your NextPay account, click the ⚙️ Settings on your profile.

  2. In the left sidebar menu, navigate to Team Access.

  3. On the Team Access page, you’ll see a table where you can add new team members to your NextPay account. Each user role affects their team permissions, as detailed below:

User Role

Description

Functions

Owner

The individual who created the NextPay account.

Has access to company settings and everything on the platform.

Owner access can be transferred by following these steps.

Who can have this role? Business owner or authorized signatory

✅ Access to everything on the platform (e.g creating invoices, managing payouts, creating and viewing all directories)

✅ Update company profile

✅ Invite other users into the company

✅ Submit business documents (Make sure submitted documents are named after the Business Owner)

❌ Approve or reject payout requests (except if the user has the authorizer role)

Administrator

Has access to company settings and everything on the platform

Who can have this role? Individuals who share the same role and responsibilities as the business owner (ex. Co-founders, Executive Board, etc.)

✅ Access to everything on the platform (e.g creating invoices, managing payouts, creating and viewing all directories)

✅ Update company profile

✅ Invite other users into the company

✅ Submit KYC documents (Make sure submitted documents are named after the Business Owner)

❌ Approve or reject payout requests (except if the user has the authorizer role)

Manager

Has access to finances and directories of the platform

Who can have this role? Individuals who manage the information of recipients and finances of the company (ex. HR, Finance, etc.)

✅ Create and manage invoices

✅ Create and manage payouts

✅ Export transaction records (i.e payouts, invoices, etc.)

✅ Make a deposit

✅ Can view and manage all directories

✅ Request for authorization

❌ Approve or reject payout requests

❌ Submit KYC documents

❌ Invite other users into the company

❌ Update company profile

Payout Authorizer

In charge of approving payouts

Who can have this role? Individuals who manage payouts on behalf of the company (ex. Accountants, Payroll, etc.)

✅ Approve or reject payout requests

✅ Can only view the transaction tables

❌ No access to Owner functions

Important note: A company can have multiple authorizers but payout approval must be unanimous.


Invite a new user

To add a new user to your company account, please follow the steps below:

  1. Under Team Access, click New User

  2. Enter the email address of the team member you wish to add

  3. Assign a role to the team member

    • Roles can be changed later by the Owner and Administrator

  4. An invitation email will be sent to the team member to create their account.


Accept a company invite

New team members can create their NextPay account by following these simple steps:

  1. Check your email for an invitation from NextPay

  2. Click on the activation link in the email

  3. Log in to NextPay to access your account


Edit user access

  1. On the Team Access page, click on the menu icon (3 dots) to the right of the user’s name

  2. Choose Edit permissions

  3. Check or uncheck the access type as you wish and click Save.


Transferring Account Ownership

Please send a request to [email protected] and follow the requirements below:

  1. Submit an updated, notarized lease contract from the business owner/user to transfer account ownership to [email protected].

  2. Ensure that the business address information in your NextPay Account aligns with the details specified in the lease contract.

    • This should also match the address provided in the submitted Proof of Address (Go to Settings > Company Settings > Company Profile > Company Address)
